FLU - PANDEMIC.
PLAN.
Shere Fun has developed a flexible plan in line with government recommendations to minimise confusion and anxiety in the event of a FLU - PANDEMIC.
EMERGENCY PLANNING.
Trustees will be responsible for co-co-ordinating the plan & reviewing it on a yearly basis.
The Chair / Co-ordinator will be responsible for checking the government website every 4 months. http://www.nhs.uk/conditions/Pandemic-flu/Pages/Introduction.aspx
Shere Fun will inform parents of this plan via our website & this plan will be made available within our Polices & Procedures File.
Arrangements will be made by the Chair / Trustee for an alternative key holder to open the Scout Hut in the event of the Supervisor being off ill.
COMMUNICATION.
Parents / Staff / Local Surgery & Shere & Peaslake Scouts will be notified of closure due to FLU OUTBREAK via Website / Notice on the Door of Scout Hut / Letter or Local Radio Station.
Key staff will be able to communicate with Chair / Trustees / Staffing Co-ordinator through the use of personal mobile phones or Shere Fun mobile or the Shere Fun Bookings mobile.
Parents / staff/ will be kept updated of the situation as to whether Shere Fun will reopen. Contacted by methods stated in Point 2 & or e mail or text.
All parents details/ contact numbers are kept on CIS [Child Information Sheet] which the Bookings Secretary holds.
Staff details are kept on file in the Supervisors Box & on Shere Fun Staffing Contact Sheet.
If a child becomes ill while attending Shere Fun, the parent / guardian will be contacted using the Shere Fun mobile or if unavailable the public phone box at the end of Goose Green.
Template letters will be used for both closing and reopening. [Bookings Secretary].
CLOSING & RE - OPENING.
Shere Fun will not stay open in the event of a FLU OUTBREAK / PANDEMIC!
The Chair / Trustees & Management Committee will make the decision re closing & or re - opening.
If Shere Fun has to make an emergency closure during the day - all parents will be contacted by means stated in points 1 & 2 above - Communication.
If the Government advise closure, then letters will be sent out to all parents or they will be contacted by phone / text.
If Shere Fun has not been advised by Government re closure then the Supervisor in Charge - in discussion with Chair / Trustees will make a decision.
The above staff will also make the decision as to whether to re -open Shere Fun with or without government advice.
PREVENTATIVE INFECTION CONTROL.
Shere Fun staff will ensure that there are sufficient cleaning materials to minimise spread of infection - at the start of every scheme.
Soiled tissues will be placed in the SMALL WHITE PEDAL BIN WITH LID - [ Red Cross on the outside of bin].
All Supervisors & staff to demonstrate to the children how stop the spread of infection, by putting their hand over their mouth & nose when they cough or sneeze!
Shere Fun to reinforce good hand washing before handling food / eating packed lunch or after using the toilet.
Food utensils / cups / plates etc must be washed up thoroughly using boiling water & washing up liquid.
If a child or staff member falls ill during the day while on Shere Fun then an area will be defined for them to stay while they wait to be collected. e .g Book Corner to be screened off for this purpose.
CONTRACTUAL ARRANGEMENTS.
Shere Fun's policy re bookings is that if child does not attend due to ill health then if the place cannot be resold then no refunds are given! This policy still stands even if there is a Flu Outbreak.
If the Supervisor in charge refuses admission to a child / parent because she / he decides the child is unwell then a " FULL REFUND WILL BE GIVEN".
DEALING WITH ILLNESS & BEREAVEMENT.
One member of our staff has completed training in " Planning for a Flu Pandemic" Alison Shaw - Shere Fun Supervisor.
If rapid access to Medical Help is required then the Supervisor will contact our nearest Medical Centre - Shere Surgery, Gomshall Lane, Shere, Guildford, Surrey.T 01483 - 202066
STAFFING.
Current government advice states that staff who are ill, who think they are ill, or whose children are ill should not come to work.
Shere Fun Management Committee will identify staff who are at high risk,because of existing medical conditions.
Shere Fun - Bookings Secretary will reduce the numbers of children attending, if staff are off sick,or may call in other staff who are on our staffing list to cover.
If a member of staff becomes ill while working on Shere Fun then - cover staff will be brought in if necessary. This depends on number of children present, as Shere Fun always ensures high staffing level.
Shere Fun has a STAFFING CO-ORDINATOR - ALISON SHAW. Alison deals with all staffing rotas and cover issues. If Alison is unavailable - then this task is carried out by Chair / Trustees.
